A request for “one box of A4 paper” can still leave important questions unanswered. The paper has to suit the printer, the document and the way it will be handled.
GSM is one useful specification, but it should not be treated as a complete quality score.
GSM means grams per square metre: the mass of one square metre of that paper. A higher GSM usually means more paper mass for the same area, but it does not by itself prove better opacity, stiffness, smoothness, brightness or printer performance. Choose A4 paper by checking the machine’s supported paper specification, document use, duplex needs and the exact product—not GSM alone.

What does GSM tell an office buyer?
GSM gives buyers and suppliers a consistent way to describe grammage. If two sheets have the same dimensions, the sheet with the higher GSM contains more paper mass. That can influence handling, postage weight, storage load and how substantial a document feels.
It does not tell the whole story. Two products marked with the same GSM can differ in thickness, stiffness, surface, opacity, whiteness and moisture condition because fibre, coating and manufacturing vary. Compare the exact product specification and a physical sample when those characteristics matter.
For everyday office buying, write the GSM as part of the item identity rather than using it as a verdict. “A4 copier paper, 80 GSM, exact brand and range, 500 sheets per ream” is a clearer request than “good thick A4 paper”.
Is higher GSM always better for printing?
No. Heavier paper can feel more substantial, but the printer must be designed to feed it through the selected tray and print path. A machine may support different paper weights in different trays, and duplex limits may differ from single-sided printing.
Check the manufacturer’s manual for the specific printer or copier model. Look for supported media size, weight range, paper type, tray and duplex restrictions. Do not assume that paper which passes through one office machine will suit every other machine.
Also check the job. Internal working copies, customer-facing proposals, forms, certificates and folded mailers do not necessarily need the same paper. The useful choice is the lightest suitable specification that meets the document and machine requirements—not automatically the highest available GSM.
What changes when you print on both sides?
Duplex printing adds two practical checks: whether text or images show through, and whether the paper feeds reliably through the duplex path. GSM may influence both, but opacity and machine behaviour cannot be predicted from GSM alone.
Print a representative test page with the real coverage: headings, body text, solid areas and any images. View the sheet under the lighting in which the document will be used. If the reverse side distracts from reading, compare the exact paper’s opacity or test another suitable product.
A stack test matters too. Print enough pages to reveal curling, feeding or finishing problems that one sheet might not show. For an important recurring document, record the paper that passed the test instead of reopening the decision for every reorder.
A simple A4 paper test before a larger order
For example, an accounts team prints a two-sided monthly report, punches it and keeps it in a lever-arch file. Its test should use the actual report coverage and duplex setting, then include punching and filing. The result is more useful than choosing paper only because one pack has a larger GSM number.
- Confirm the machine model and supported paper specification.
- Print one real single-sided page and one real duplex page.
- Check feeding, curling, toner or ink appearance, show-through and writing by hand if relevant.
- Fold, staple, punch or file the sheet exactly as the office will use it.

How much does one A4 sheet weigh?
A4 measures 210 × 297 mm, an area of 0.06237 square metres. A useful estimate is: sheet mass in grams = GSM × 0.06237.
At 80 GSM, one A4 sheet is approximately 80 × 0.06237 = 4.99 g, before allowing for normal manufacturing variation. Five hundred sheets would therefore have about 2.49 kg of paper mass, excluding the wrapper and carton.
This calculation helps with rough handling and storage estimates. It is not a substitute for the product’s stated pack weight, machine specification or courier quotation.
