A roll-up banner may look fine as a PDF while still using the wrong proportion, hiding content near the cassette or carrying text that is too dense for a standing display. The safest starting point is the exact template for the roll-up unit being quoted—not a size copied from an unrelated online design.
Set the artwork to the printer-confirmed finished size and exact unit template. Keep logos, contact details and other essential content inside the marked visible area, use original images, embed or outline fonts as agreed, and export a proofable PDF. Before production, check the file at full proportion and as a small thumbnail, then confirm the unit, quantity and required date.

Why can’t you use any roll-up banner size?
“Roll-up banner” describes a display system, not one universal artwork specification. Units can differ in finished width, visible height, the amount held inside the cassette and the way the top edge connects. An online template may therefore have the right portrait shape but the wrong production boundaries.
Ask the printer to name the quoted unit and supply its current template. The template should distinguish the finished artwork boundary, the area expected to remain visible, any bleed, and any lower allowance that feeds into the cassette. Do not invent these measurements or transfer them from another supplier’s file.
Record dimensions as width x height with units. If a designer prepared the file before the unit was selected, treat it as a layout draft and resize or rebuild it after the actual specification is confirmed.
What should remain inside the visible area?
Keep the logo, headline, key offer or message, date, contact details and QR code—if one is genuinely useful—inside the printer-marked visible area. Do not place essential content on a boundary simply because it remains visible on the computer screen.
The bottom of a roll-up print needs particular attention because part of the material may sit within the cassette or close to the hardware. The exact allowance is unit-specific. Ask for a proof that shows the visible boundary rather than relying on a generic safe margin.
Also leave calm space around the top connector and side edges. Clear spacing makes the message easier to scan and reduces the risk of a logo or phone number feeling cramped against the hardware.
How should the message be arranged?
A person usually meets a roll-up display while walking through an entrance, exhibition aisle, counter area or seminar space. Build a short vertical reading path.
View the artwork as a phone-sized thumbnail. If the headline, brand and action disappear, adding more words will not fix it. Remove secondary copy or move it to a handout, webpage or staff conversation.
Use a QR code only when the destination is ready and the code is large and clear enough to test from the intended position. Keep a readable text route as a fallback. Test the final exported file, not only the design-app preview.

- Explain: one clear headline describing the subject.
- Support: two or three short points, not a full brochure.
- Act: one relevant next step, such as a website, contact route or booth direction.
What file checks matter before export?
Use original logos and images where possible. A picture that looks sharp on a phone can still be unsuitable when enlarged. Effective image resolution depends on the placed size, so ask the printer to assess the supplied original against the confirmed output dimensions and viewing conditions.
Keep text as live, embedded fonts or outlined shapes according to the agreed production workflow. Font handling changes editability, so retain an editable source copy before outlining anything. Check spelling, names, dates, phone numbers and URLs after export.
Export the requested PDF format without changing the page proportion. Include only production marks requested by the printer; do not add crop marks or extra page space by habit. Send a dimensioned reference proof alongside the production file when the file name alone does not make the size obvious.
Worked example: turning a seminar layout into a clear brief
Suppose a team needs two indoor roll-up displays for a seminar registration area. The first draft contains a logo, a long event description, six agenda points, four sponsor logos, a QR code and three contact routes.
A clearer brief asks the printer to confirm the unit and provide its artwork template. The revised layout keeps the event name, date, three short programme points and one registration route in the visible area, supplies original logo files, and asks the proof to mark finished size, visible boundary, bleed and cassette allowance.
