What to Include in a Signboard Quote Brief

Use this practical checklist to send the site photos, dimensions, wording, artwork and access details needed for a signboard quotation.

A message such as 'I need one shop sign, how much?' is enough to start a conversation, but it is not enough for an accurate quotation. The supplier still cannot see the wall, the access, the wording or whether lighting is involved.

Three useful photos and a short labelled list usually explain more than a long chat. This guide shows exactly what to send.

Why a complete signboard brief matters

Two signs with the same width can require different materials, structures, lighting and installation access. A clear brief helps the supplier identify the real scope before quoting and highlights details that still need a site check.

You do not need to know every technical term. Start with what the sign needs to do, where it will go and what information must appear.

Record the location, purpose and clear site photos

State whether the sign is for a shopfront, reception, office, factory, counter or event; whether it is indoors or outdoors; and whether it is for branding, directions, safety information, opening hours or promotion. State whether you have print-ready vector artwork, a PDF, AI, EPS or SVG logo file, a high-resolution image, an old sample, a rough sketch or wording only. For an illuminated sign, explain whether lighting is required, whether a usable power point or existing wiring is nearby, and whether landlord or building-management approval may apply. Do not assume electrical work, access equipment, structural work or authority approval is included; the available scope must be confirmed for the site.

State the date, quantity, access and installation request

Share the required date as a requirement to be checked, not a confirmed completion promise. Mention the opening or event date, floor level, permitted working hours, parking, loading access and building-management procedures.

List each sign size and location separately and state the quantity. Ask for installation to be considered when needed. Production timing, installation, equipment and access depend on the confirmed design, material and site conditions.
